Grundfos, a global leader in water solutions headquartered in Denmark, has long prioritized employee health, safety and well-being through an exceptional workplace safety culture driven by corporate initiatives. In 2022 Grundfos recognized the need for a scalable, customizable software solution to support their health and safety program and adapt to its growing organization. By leveraging the SpheraCloud software platform, Grundfos was able to improve its safety culture and enhance data accessibility and insights on a global scale.

IN THIS CASE STUDY

Highlights

Scalable, multilingual software for global rollout

Easy reporting access for all employees

Availability and transparency of data

Challenges

Software scalability for evolving business needs
Limited health and safety data
Integration with Sphera sustainability solutions

Despite their commitment to workplace well-being, Grundfos faced several challenges

  • Ensuring software scalability for evolving business needs: Grundfos needed a solution that could keep up with their growth and adapt to an ever-changing industry.
  • Lack of details and completeness of safety data: The lack of detailed data limited comprehensive safety insights, leaving room for improvement in decision-making.
  • Integrating with other sustainability solutions: Grundfos required a system that fit alongside their broader sustainability objectives.

A growing organization with over 20,000 employees globally, Grundfos required a standardized approach to collect actionable health and safety data across various geographies and functions.

Solution

Grundfos chose SpheraCloud Health and Safety software in 2023 to support and enhance their safety program with an advanced solution. Key components of the implementation included:

  • Purpose-built software: Grundfos adopted the Risk Assessment, Incident Management and Actions software to streamline reporting and ensure a proactive approach to safety.
  • The SpheraCloud First Report software empowers every employee and contractor — on the shop floor, in services or sales teams — to easily report incidents, near-misses and unsafe behaviors. Unlike legacy solutions, this system allows incident reporting without requiring complex logins or specialized software knowledge.
  • Multilingual support: SpheraCloud First Report portal can be used in various languages, which enhances accessibility and adoption rates among Grundfos’ workforce globally.

The new software system paved the way for widespread adoption, enabling reporting functionality to be available across the company’s entire workforce.

Furthermore, Grundfos leveraged AI tools like Microsoft Co-Pilot and Power BI to analyze their substantial data sets — e.g., 40,000 hazard observations annually. While patterns identified through AI require careful validation, this capability improved hazard identification and trend analysis, allowing local teams to evaluate risks more effectively.

Results

Daily live insight into incidents on the shop floor and in digital board meetings

Lost Time Injury ratio reduction by 16% from 2021 to 2024

95% close rate of hazard observation corrections in 2024

With SpheraCloud Health and Safety, Grundfos achieved measurable progress in their health and safety performance:

  • Improved safety culture and adoption: Over 20,000 employees can report incidents without prior software expertise, leading to 360° visibility into workplace risks and trends. This information is shared directly with workers on the shop floor, giving them the same visibility into safety performance. This transparency builds trust and significantly increases buy-in.
  • Real-time data insights: EHS teams benefit from daily updates on incidents, near-misses, injuries and hazard categories, fostering transparent communication across teams.

This transformation has not only elevated Grundfos’ safety performance but has also bolstered its commitment to employee well-being globally.
